Merging PDFs with what ships on the Mac

Merging PDFs is a solved problem on a Mac and almost nobody knows it, which is how 'combine pdf' became a search that ends on an upload-your-document website. Your invoices do not need to visit a stranger's server.

Two documents: Preview

  1. Open the first PDF in Preview, show the sidebar as thumbnails

(View → Thumbnails).

  1. Drag the second PDF from Finder *into* the sidebar, at the position it should

appear. Drag whole documents or individual pages; reorder freely.

  1. File → Export as PDF… to save the merged result under a new name.

Export matters: Preview autosaves in place, so exporting keeps the originals untouched.

A folder at once: Shortcuts

The Shortcuts app ships a ready-made ability for this. A three-step shortcut — Receive files → Make PDF → Save — accepts any number of PDFs and produces one merged document. Set the shortcut to appear as a Quick Action, and it becomes a right-click item in Finder: select twelve PDFs, right-click, merged.

Selection order matters — files merge in the order chosen. For alphabetical merging, name the files sortably first (01-, 02-, …).

Scans and mixed sources

Preview's sidebar accepts images too: drag a JPEG or PNG in and it becomes a page. Assembling a contract from a PDF plus two photographed signature pages is the same drag as before.

Finding the parts first

The merge is the easy half. The twelve monthly statements are the hard half — scattered across Downloads and email, named by the bank's whim. Gathering by content search (the bank's name, restricted to PDF, in the date range) before merging is what makes the batch complete rather than eleven-twelfths complete.

Common questions

Does merging in Preview reduce quality?

No. Pages are carried over as-is. Only exporting with a Quartz filter, such as Reduce File Size, re-compresses content.

Can I rearrange pages after combining?

Yes — drag thumbnails within Preview's sidebar. Delete pages with Backspace. Export again when the order is right.
