Every invoice on the disk, actually found

On a Mac holding six million files, Spotlight returns 78 results for 'invoice'. The real number on that disk is 197. If you are assembling expenses or chasing one missing bill, the gap is the whole problem.

Where invoices actually end up

• Downloads — every PDF a supplier's portal ever produced
• Mail attachments — cached inside ~/Library/Mail, invisible to Spotlight
• Messages attachments — same story, inside ~/Library/Messages
• Scans — named by the scanner: Scan 2026-03-14.pdf says nothing about content
• Client and project folders — filed at the time, forgotten since
• Cloud placeholders — in Dropbox or iCloud folders, possibly not on disk at all

The scatter is the problem. No single folder holds them, and two of the biggest sources sit in places macOS search will not look.

The Finder pass

A Smart Folder gets the visible part. File → New Smart Folder, then add criteria: Kind is PDF, plus Name contains invoice — and run it again for receipt, rechnung, or whatever your suppliers use. Add a date range for a tax year. This covers named files in indexed locations.

The content pass

Files named Scan 03-14.pdf only surface via content search. Spotlight does index PDF text in normal folders, so a Finder search on Contents for an amount or a supplier name catches scans — if the PDF has a text layer. Image-only scans need OCR first; recent macOS versions add Live Text to many PDFs, but a batch OCR tool is the reliable fix for an archive of image scans.

The invisible part

Mail's attachment cache is the classic miss: the invoice arrived by email three years ago, the message is still in Mail, and no Finder search will ever show its PDF. Options: search inside Mail itself (its own search reads its own index), or use a whole-disk indexed tool. Everywhere indexes ~/Library like any other folder, so invoice .pdf returns the mail cache copies alongside everything else — that difference is most of the 78-versus-197 gap.

Keep next year boring

One folder, ~/Documents/Invoices/2026, and a five-second filing habit — or a Hazel rule that files anything whose name or content matches invoice|receipt as it lands in Downloads. The search problem is downstream of the filing problem.
