Findable files for a team

A filing system only one person understands is not a system. Shared files need conventions everyone can predict.

The core problem

Solo, you remember your own logic. In a team, "where would someone else have put this" replaces "where did I put this" — and the answer has to be predictable without asking.

Naming that survives handoff

• ISO dates always — 2026-07-31, so every machine and person sorts identically
• Client/project name first, consistently — decide the spelling once (Acme, not ACME/acme)
• Version numbers, not adjectives — v3 not final, because everyone's "final" differs
• Status in the name where it helps — -DRAFT, -APPROVED

A shared convention document, one page, settles the arguments before they happen.

Structure that predicts

Shallow and obvious beats deep and clever:

Anyone can guess where a file goes because the pattern repeats. Deep bespoke trees rot the moment their author leaves.

Search across the share

On a network share or cloud team folder, Spotlight indexing is unreliable (network volumes) or scoped per-person (cloud). The reliable finders are:

• The cloud provider's own web search (Dropbox, Google Drive, SharePoint) — server-side,

sees everything

• find/mdfind -onlyin on the mounted share, accepting the speed
• Good naming, so ⌘F on a name fragment works even when full indexing does not

Tags do not travel

Finder colour tags are local and lost through most cloud sync — do not build a shared system on them. Put the metadata that must survive in the filename, the one field every system preserves.

The habit that scales

The team files at the moment of creation, into the predictable structure, with the agreed name. Retroactive tidying never happens across people; naming-at-creation is the only discipline that survives more than one person.

Can Spotlight search a shared network folder?
