A photographer's search setup

Photography has the hardest search problem: enormous files, meaningless names, and the real metadata locked inside catalogues.

The two-system reality

Catalogue apps (Lightroom, Capture One) know everything — keywords, ratings, faces, lenses — about photos *they imported*. The filesystem knows about everything else: the offloads that never got imported, exports scattered to Desktop and Downloads, the drives from three laptops ago.

Search fails in the gap between the two. The fix is deciding, per shoot, which system owns it — and getting strays into that system fast.

Filenames that survive outside the catalogue

IMG_4021.CR3 means nothing in a folder listing. A rename on import — 2026-07-31 kerala 0421.CR3 — costs nothing (both Lightroom and Capture One do it during import) and makes every file findable by date and shoot name *without* the catalogue. The catalogue can die; names are forever.

Year folders keep any one directory listable; date-prefixed shoots sort themselves; RAW/Exports separation means archives can drop RAW while keeping deliverables.

The archive-drive problem

Shoots age onto external drives, and Spotlight forgets each drive at unplug. This is the single worst failure for photographers — "which drive has the 2022 wedding" with six drives in a drawer.

Options: per-drive listing files (find /Volumes/Archive2022 > listing.txt), a catalogue app that indexes offline volumes, or a search index that retains unmounted drives and answers with the drive's name (this case is much of why Everywhere keeps offline volumes searchable).

Card hygiene

Offload with a checksum-verifying tool or at minimum verify counts before formatting; cards are also the one place recovery software genuinely works, so a mis-format is survivable if you stop shooting on it immediately.

Yes — date plus shoot name. It makes files findable independent of any catalogue's survival.
