Finder fixes and how-tos

Hiding and fixing Finder's Recents

Updated 2026-10-30 · 3 min read

Recents is a live Spotlight search of real files, so tidying it takes care. You can hide it or keep folders out of it but not clear it, and an empty Recents usually means Spotlight needs attention.

Recents is a saved search, not a folder

Recents is a Finder window that lists documents you opened or changed lately. Apple's keyboard shortcuts page calls it "the Recents window, showing all of the files you viewed or changed recently", and it opens with ⇧⌘F or Go > Recents. Underneath, it's a saved Spotlight search: on macOS 15.6 its definition inside Finder asks Spotlight for documents among your own files that have a "last opened" date. Every item is the real file in its real folder, which matters before you click anything:

What you can do is hide Recents, stop new windows opening on it, or keep a folder's files out of it.

Hide Recents from the sidebar

  1. In Finder, choose Finder > Settings, then click Sidebar.
  2. Untick Recents.

Hiding the sidebar entry deletes nothing, and Go > Recents and ⇧⌘F still open the window. Tick the box again to bring it back.

If every new window opens on Recents when you press ⌘N, choose Finder > Settings > General and pick another folder under New Finder windows show, such as Desktop or Documents.

Keep a folder's files out of it

Because Recents is a Spotlight search, a folder Spotlight is told to skip drops out of it as well. To exclude one, open System Settings > Spotlight, click Search Privacy, and add the folder. The catch is that Spotlight stops finding anything in that folder anywhere, not only in Recents. Apple's guide doesn't mention the effect on Recents, so open a file from that folder afterwards and check that it stays out.

If the worry is file names on show when someone looks at your screen, hiding Recents from the sidebar is the lighter fix.

The other recent lists, and how to clear them

Several things on a Mac are called recent, and they are kept separately:

WhatWhereHow to clear it
Recently opened foldersGo > Recent FoldersClear Menu at the bottom of that submenu
Recent documents, apps and serversApple menu > Recent ItemsClear Menu at the bottom, per Apple's guide
Documents in the Recents windowGo > RecentsNo clear command; hide it or exclude folders as above

Clearing those menus doesn't empty the Recents window, which comes from Spotlight rather than from the menus. Where the menu lists are stored is explained in where Recent Items lives.

When Recents is empty or out of date

An empty Recents on a Mac that's plainly in use usually points at Spotlight. Check that indexing is on for the startup disk and the data volume your home folder sits on:

mdutil -s / /System/Volumes/Data

Each line should say Indexing enabled. If one says indexing is disabled, or ordinary Spotlight searches fail too, fix Spotlight first. Rebuilding the Spotlight index walks through it, and Recents fills again as the index catches up.

Other reasons the list looks wrong, all following from how that search is defined:

Seeing what changed lately

Everywhere's Recent button answers a neighbouring question: files changed in the last 7 days, anywhere it indexes, whether or not you opened them. A PDF you only read won't be there; one you saved will. Type dm:<3d with a word from the name to narrow it to three days. It needs Full Disk Access before Desktop, Documents and Downloads are included. For files you opened rather than changed, finding files opened today has the Finder route.

Common questions

How do I clear Recents on a Mac Finder?

There's no command that empties the Recents window, because it's a live Spotlight search of your files. Hide it in Finder > Settings > Sidebar, or exclude folders in Spotlight's Search Privacy list. Go > Recent Folders and Apple menu > Recent Items each have a Clear Menu item for their own lists.

Does deleting from Recents delete the file?

Yes. Recents shows the real files, so moving one to the Trash from there trashes the original. To get rid of the view only, hide Recents from the sidebar instead.

Why is Recents not showing in Finder?

It may be switched off in the sidebar: open Finder > Settings > Sidebar and tick Recents, or press Shift-Command-F. If the window opens but is empty, check that Spotlight indexing is on with mdutil -s /.

How do I remove Recents from the Finder sidebar?

Choose Finder > Settings, click Sidebar and untick Recents. Nothing is deleted, and you can still open it from the Go menu.
