Cataloging drives and folders

From an offline result to the original file

Updated 2026-10-01 · 3 min read

Catalog finds the destination; the original drive still performs the read.

The useful distinction

Search while the drive is offline, note the catalog name and path, then connect the matching source. Wait for Everywhere to mark the catalog online and use Open or Reveal from the result. If the file moved since the last scan, rescan the catalog and search again. This separation keeps offline search honest rather than pretending a metadata record is the file itself.

A careful workflow

Open Catalog… from Everywhere’s menu bar item and add the drive or folder that matters. Let the first catalogue finish, then search by filename and browse the recorded folder tree. When the source is disconnected, the catalogue remains available and results are labelled offline so you know why opening the file requires reconnecting the drive.

Keep the original drive unchanged, use a clear catalogue name, and rescan after a large round of changes. Catalogues are for the places you choose; they do not silently turn a whole-Mac search into a second scan.

Common questions

Can I restore a file while offline?

No. You can locate and copy its path, but the source must be connected to read the bytes.

What if the path no longer exists?

Rescan the source and treat the old result as a stale catalog record.

Find any file before you finish typing

Everywhere keeps track of every file on your Mac — including the folders Spotlight hides and drives you have unplugged. Free for a day, then $19 once.
