Cataloging drives and folders

Understanding the Offline catalog status

Updated 2026-10-01 · 3 min read

Offline is a useful state, not an error: it says the inventory is available while the source is not.

The useful distinction

When a cataloged drive is unmounted, its results remain in ⌥Space and the Catalog browser, but they carry an Offline label. Search, folder browsing, Copy Path, and Reveal in Catalog can still help. Opening, previewing, or changing the file requires the source drive. When the drive mounts again, Everywhere matches it by identity rather than trusting a temporary mount name.

A careful workflow

Open Catalog… from Everywhere’s menu bar item and add the drive or folder that matters. Let the first catalogue finish, then search by filename and browse the recorded folder tree. When the source is disconnected, the catalogue remains available and results are labelled offline so you know why opening the file requires reconnecting the drive.

Keep the original drive unchanged, use a clear catalogue name, and rescan after a large round of changes. Catalogues are for the places you choose; they do not silently turn a whole-Mac search into a second scan.

Common questions

Why does an offline result not open?

The catalog knows the path but macOS cannot read the file until the source volume is connected.

Will reconnecting remove the Offline label?

Yes, once the known catalog is matched to its mounted volume.

Find any file before you finish typing
