Cataloging drives and folders

Reading Catalog’s sidebar

Updated 2026-10-01 · 3 min read

The sidebar is a source map: it tells you what can be searched and what can be opened now.

The useful distinction

A connected catalog matches a mounted source and can be rescanned. An offline catalog retains its records but cannot open files. A damaged catalog needs recovery or recreation. A folder catalog can be present while its folder is missing or moved. Use the status before assuming a search result is current.

A careful workflow

Open Catalog… from Everywhere’s menu bar item and add the drive or folder that matters. Let the first catalogue finish, then search by filename and browse the recorded folder tree. When the source is disconnected, the catalogue remains available and results are labelled offline so you know why opening the file requires reconnecting the drive.

Keep the original drive unchanged, use a clear catalogue name, and rescan after a large round of changes. Catalogues are for the places you choose; they do not silently turn a whole-Mac search into a second scan.

Common questions

Why is a folder catalog missing?

The source volume may be offline or the recorded relative folder path may have moved.

Can I remove a damaged entry?

Yes. Forget the local catalog and rebuild it from a trusted connected source when possible.
